Zoho set up the way your business actually runs

Zoho is affordable and fast to deploy, but a default install rarely survives contact with Saudi VAT, ZATCA invoicing and a sales team used to WhatsApp. We configure it around your real numbers and your real workflow.

The direct answer

Zoho implementation is the setup and configuration of Zoho CRM, Books, Inventory and the wider Zoho One suite for how your company actually sells, invoices and approves work, not the out-of-the-box defaults. It is for Saudi companies choosing Zoho for its price and speed, but who need VAT, ZATCA e-invoicing, Arabic documents and their own approval chain built in from the start, not bolted on after go-live.

Before and after

What this removes.

Invoices don't meet ZATCA rules

Today

Zoho Books generates an invoice, but it's missing the QR code and fields ZATCA Phase 2 requires, so finance fixes it by hand.

With the system

Every invoice leaves Zoho already compliant, with the QR code and required fields generated automatically at the point of issue.

Sales team never adopted the CRM

Today

Deals get tracked in a WhatsApp group and a personal spreadsheet, because the CRM setup doesn't match how the team actually sells.

With the system

The pipeline stages match your real sales process, so reps log deals in Zoho because it's faster than the spreadsheet, not because they're told to.

Records are English-only

Today

Quotes, invoices and contracts come out in English, and someone retypes an Arabic version for the client every time.

With the system

Templates generate bilingual documents automatically, so an Arabic-language invoice or quote is the default output, not a manual step.

Zoho apps don't talk to each other

Today

CRM, Books, Inventory and Desk were each set up separately, so a closed deal doesn't automatically create an invoice or a stock reservation.

With the system

The Zoho One apps you use are wired together, so a closed deal flows straight into an invoice and a stock movement without re-entry.

What we build

What lands in your hands.

Zoho CRM configuration

Pipeline stages, fields and lead sources set up to match your real sales process, not the template.

Zoho Books and VAT setup

Chart of accounts, VAT rates and tax reports configured correctly for Saudi filing from day one.

ZATCA e-invoicing integration

Phase 2 compliant e-invoicing wired into Zoho Books, including QR codes and required fields.

Zoho One app integration

CRM, Books, Inventory, Desk and other Zoho apps connected so data moves once, not typed twice.

Data migration

Customers, products, open invoices and historical records moved in from your spreadsheets or old system.

Bilingual templates and reports

Quotes, invoices and dashboards generated in Arabic and English from the same record.

The delivery plan

Five stages. You sign off every one.

Read each stage as a small contract: what we need from you, what lands in your hands, and the sentence that has to be true before we move on.

01 / 05

Discovery and process mapping

3 to 5 days

We map your current sales, invoicing and approval process, and agree which Zoho apps and modules the project actually needs.

What you do
  • Walk us through a real deal end to end
  • Share current invoice and quote templates
  • Confirm your VAT registration details
What we deliver
  • A process map covering sales to invoice
  • A confirmed list of Zoho apps in scope
  • A written scope for the build stage
Exit criteria

We move on when you and the team agree the process map matches how deals actually move through your business.

02 / 05

Core CRM and Books build

1 to 2 weeks

We configure Zoho CRM pipelines and Zoho Books, including chart of accounts, VAT rates and ZATCA e-invoicing.

What you do
  • Review draft pipeline stages and fields
  • Confirm your chart of accounts
  • Test sample invoices for accuracy
What we deliver
  • A working CRM pipeline on a sandbox account
  • Zoho Books configured with VAT and ZATCA fields
  • A sample ZATCA-compliant invoice for review
Exit criteria

We move on when a test deal moves through the pipeline and produces a ZATCA-compliant invoice with no manual fix.

03 / 05

Integration and data migration

1 to 2 weeks

We connect the Zoho apps in scope to each other and to any outside systems, then migrate customers, products and open records.

What you do
  • Grant access to source spreadsheets or systems
  • Confirm which records need migrating
  • Spot-check migrated data for accuracy
What we deliver
  • Zoho One apps connected end to end
  • Customer, product and open-invoice data migrated
  • A migration log listing what moved and what didn't
Exit criteria

We move on when a closed deal in the CRM produces the correct invoice and stock movement without re-entry.

04 / 05

Bilingual templates and training

3 to 7 days

We finish Arabic and English templates for quotes, invoices and reports, and train your team on the live system.

What you do
  • Approve final Arabic and English wording
  • Attend a training session with your team
  • Assign an internal Zoho administrator
What we deliver
  • Bilingual quote, invoice and report templates
  • A recorded or live training session
  • A short admin guide for day-to-day changes
Exit criteria

We move on when your team generates a bilingual quote and invoice unassisted and confirms both read correctly.

05 / 05

Go-live and support

ongoing

We cut over to the live Zoho account, watch the first invoicing cycle closely, and stay on for fixes and adjustments as usage settles.

What you do
  • Approve the go-live date
  • Flag anything that behaves unexpectedly
  • Review the first month's VAT and ZATCA output
What we deliver
  • A monitored go-live with same-day fixes
  • A review of the first VAT filing cycle
  • A support channel for changes and questions
Exit criteria

We move on when the first full invoicing and VAT cycle closes clean, with any open issue assigned an owner.

Buyer questions

Asked before signing.

What determines the cost of a Zoho implementation?

Cost tracks scope: how many Zoho apps you're licensing and configuring, how much data we migrate, whether ZATCA e-invoicing is in play, and how far your process sits from Zoho's defaults. A CRM-and-Books setup for one entity and a multi-app rollout with custom modules are different projects. We price after the discovery stage, not before it.

Is Zoho actually ready for ZATCA Phase 2 in Saudi Arabia?

Zoho Books supports the fields and QR code structure ZATCA Phase 2 requires, but the default setup needs configuration to match your invoice types and integration mode correctly. We set this up and test it against real invoices before go-live, so compliance isn't something you find out is missing later.

Where does our data live, and who can see it?

Your data lives in your own Zoho account, on Zoho's own infrastructure, not a third party we control. We follow PDPL principles on access and data minimization while we build, and once the project hands over, access follows the permissions you set inside your Zoho account.

Can Zoho connect to the other systems we already run?

Yes, within reason. Zoho has native connectors for common tools and an open API for the rest. We scope any integration with your existing accounting, e-commerce or logistics system during discovery, and flag early if a particular connection needs custom work.
